These Terms & Conditions govern your use of the Diplominds Global website and your participation in our events, programs, applications, and related services. By accessing our website, submitting an application, registering for an event, or participating in a program, you acknowledge that you have read and agree to these Terms & Conditions.

Website and General Use

You may use the Diplominds Global website only for lawful purposes and in accordance with these Terms & Conditions.

You agree not to use the website or any associated service to engage in unlawful activity, impersonation, fraud, unauthorised access, abuse, interference with website functionality, or any activity that may harm Diplominds Global or other users.

We reserve the right to restrict or suspend access to our website or services where reasonably necessary to protect our users, systems, operations, or legal rights.

Applications and Registrations

Applicants are responsible for providing complete, accurate, and truthful information when submitting an application or registration.

Applications may be rejected, withdrawn, or disqualified if the information provided is materially false, misleading, incomplete, fraudulent, or submitted in violation of the applicable program requirements.

Submission of an application does not guarantee selection, admission, funding, participation, travel support, accommodation, or any other benefit unless expressly confirmed by Diplominds Global in writing.

Selection Process

Where a program or event involves a competitive selection process, applications may be reviewed by Diplominds Global staff, appointed reviewers, advisors, or other individuals involved in the relevant selection process.

Depending on the program, selection may consider factors including the quality of the application, motivation, leadership potential, relevant experience, contribution to the program, geographic representation, diversity of perspectives, and the overall objectives and composition of the participant cohort.

Funded or partially funded opportunities are limited and are awarded on a competitive basis. Meeting eligibility requirements or submitting a complete application does not guarantee selection.

Unless otherwise stated in the applicable program terms, selection decisions are final. Diplominds Global may not be able to provide individual evaluation scores, internal deliberations, rankings, or detailed reasons for every selection decision.

Application Fees

Where an application fee applies, the fee amount and payment conditions will be stated on the relevant application or registration page.

Unless expressly stated otherwise, an application fee covers the administrative and evaluation costs associated with processing an application and does not constitute a guarantee of selection or participation.

Application fees are generally non-refundable once an application has been submitted and processed, except where a refund is expressly provided under the applicable program terms or required by applicable law.

Participation Categories and Funded Opportunities

Diplominds Global may offer different participation categories, including fully funded, partially funded, self-funded, invitation-based, or other categories.

The benefits, eligibility requirements, fees, deadlines, funding arrangements, and inclusions associated with each category may vary by program.

Important: Selection for a funded or partially funded category does not necessarily mean that all costs associated with participation will be covered. Only benefits expressly stated in the relevant program offer or confirmation are included.

Invitation Letter Category

Where Diplominds Global offers an invitation-letter category, the category may be provided solely to support an eligible participant's advance visa application or related travel documentation process.

An invitation letter does not constitute a guarantee that a visa will be issued, that entry into a country will be permitted, or that participation in the event will ultimately take place.

Visa decisions are made exclusively by the relevant government or immigration authority. Applicants are responsible for satisfying all visa, immigration, travel, and entry requirements applicable to them.

Where specified by a program, an invitation-letter category may be upgraded to another available participation category subject to availability, eligibility, applicable fees, and confirmation by Diplominds Global.

Visa, Immigration and Travel Responsibilities

Participants are responsible for obtaining any visa, passport, insurance, vaccination, immigration approval, travel document, or other requirement necessary for participation.

Diplominds Global may provide reasonable supporting documentation where applicable, but does not guarantee visa approval, border entry, flight availability, or immigration clearance.

Participants should not make non-refundable travel commitments solely on the assumption that a visa or participation approval will be granted unless otherwise advised in writing.

Airfare Support

Where airfare support forms part of a funded or partially funded participation package, the applicable support will be provided only in accordance with the specific terms communicated to the participant.

Unless expressly confirmed otherwise in writing, airfare support is provided by reimbursement rather than as an advance payment.

The reimbursement limit is determined by Diplominds Global and may vary according to the relevant program, funding availability, point of departure, eligible travel costs, and other operational considerations.

Reimbursement, where applicable, may be limited to the lower of the approved reimbursement amount or the eligible documented airfare expense and may require submission of valid supporting documentation within the specified timeframe.

Diplominds Global reserves the right to verify travel documentation and decline or adjust reimbursement requests that do not satisfy the applicable program requirements.

Accommodation

Where accommodation is included as part of a participation package, the type, duration, location, occupancy arrangement, and other conditions will depend on the applicable program.

Unless otherwise confirmed in writing, accommodation may be arranged on a shared-occupancy basis. Any single-room upgrade, where available, may require an additional fee and prior written confirmation.

Participants are responsible for complying with the rules of the accommodation provider and for any personal charges, damages, upgrades, or services not expressly included in their participation package.

Event Changes, Cancellation and Refunds

Diplominds Global reserves the right, where reasonably necessary, to modify event dates, schedules, speakers, venues, program elements, participation arrangements, or other event details.

Where circumstances require cancellation, postponement, relocation, or substantial modification of an event, Diplominds Global will make reasonable efforts to notify affected participants and communicate available options.

Refund eligibility, if any, will be determined according to the applicable event-specific refund policy and applicable law.

Unless expressly stated otherwise, costs independently incurred by participants, including visa fees, travel, insurance, accommodation, or other third-party expenses, are not automatically refundable by Diplominds Global.

Participant Responsibilities

Participants are expected to:

  • Provide accurate and up-to-date information.
  • Meet applicable deadlines and participation requirements.
  • Follow reasonable instructions provided by Diplominds Global and authorised event personnel.
  • Comply with applicable laws, venue rules, safety requirements, and immigration regulations.
  • Behave respectfully toward other participants, speakers, staff, partners, and members of the public.
  • Safeguard their personal belongings and documents.

Code of Conduct

Diplominds Global is committed to creating a respectful, inclusive, and professional environment for dialogue, learning, and collaboration.

Participants must not engage in:

  • Harassment, bullying, intimidation, or threatening behaviour.
  • Discrimination or abusive conduct toward another person.
  • Violence, unlawful conduct, or behaviour that creates a safety risk.
  • Fraud, impersonation, or deliberate misrepresentation.
  • Unauthorised use, distribution, or disclosure of confidential information.

Diplominds Global may take appropriate action, including withdrawal of participation, removal from an event, cancellation of access, or other reasonable measures, where a participant materially breaches these standards or applicable event rules.

Event Liability and Personal Responsibility

Participants attend Diplominds Global events and programs at their own responsibility and should take reasonable precautions concerning their health, safety, travel arrangements, personal belongings, and documents.

To the extent permitted by applicable law, Diplominds Global is not responsible for loss, theft, damage, delay, injury, or expense arising from circumstances outside its reasonable control or from the independent acts or omissions of third parties.

Nothing in these Terms & Conditions is intended to exclude or limit liability that cannot lawfully be excluded or limited under applicable law.

Third-Party Services

Diplominds Global may use or link to third-party services including payment processors, accommodation providers, airlines, registration platforms, transportation providers, analytics services, communication platforms, and other external services.

Third-party services may be subject to separate terms, conditions, and privacy policies. Diplominds Global is not responsible for the independent terms, policies, availability, or performance of third-party providers, except to the extent required by applicable law.

Intellectual Property

Unless otherwise stated, the Diplominds Global name, trademarks, logos, website content, graphics, text, materials, designs, and other original content are owned by or licensed to Diplominds Global and are protected by applicable intellectual property laws.

You may not reproduce, modify, distribute, publicly display, sell, or commercially exploit our content without prior written permission, except where permitted by applicable law.

Photography, Video and Media

Diplominds Global or authorised event representatives may photograph, record, or otherwise document events and activities for legitimate organisational, educational, archival, reporting, or promotional purposes.

Where consent is legally required for a particular use, Diplominds Global will seek the appropriate consent or provide an applicable opt-out mechanism where required.

Participants should notify event personnel where they have a specific concern regarding photography or recording.

Privacy and GDPR Compliance

Protection of Personal Information

Diplominds Global processes personal information in accordance with its Privacy Policy and applicable data protection laws.

Where the General Data Protection Regulation (GDPR) applies, Diplominds Global seeks to process personal data lawfully, fairly, transparently, and securely and to respect applicable data-subject rights.

Diplominds Global will not be responsible for delays, cancellations, interruptions, or inability to perform obligations caused by circumstances beyond its reasonable control.

Such circumstances may include natural disasters, severe weather, epidemics or pandemics, war, terrorism, civil unrest, strikes, government actions, changes in law, travel restrictions, transportation disruptions, venue unavailability, or major technological failures.

Where reasonably possible, Diplominds Global will seek to communicate material changes and identify appropriate alternatives.

Institutional and Official Visits

Where visits to governmental institutions, international organisations, diplomatic missions, universities, companies, or other institutions form part of a program, such visits are subject to availability, security requirements, institutional approval, scheduling, and other conditions imposed by the host organisation.

Diplominds Global does not guarantee access to any specific institution, official, speaker, or organisation unless expressly confirmed in writing.

Withdrawal and Termination of Participation

Participants may withdraw from a program or event subject to the applicable cancellation and refund terms.

Diplominds Global may cancel or withdraw a participant's participation where reasonably necessary due to material misrepresentation, serious misconduct, failure to satisfy eligibility requirements, non-payment of applicable fees, violation of these Terms & Conditions, or other legitimate program requirements.

Where participation is withdrawn because of participant misconduct or material breach, any refund or reimbursement will be determined in accordance with the applicable program terms and applicable law.

No Guarantee of Outcomes

Participation in a Diplominds Global program does not guarantee employment, academic admission, government placement, diplomatic appointment, funding, visa approval, business opportunities, media exposure, partnerships, awards, or any other particular personal or professional outcome.

Any future opportunity arising from participation is dependent on the relevant organisation, institution, authority, or third party.

Changes to These Terms & Conditions

Diplominds Global may update or modify these Terms & Conditions from time to time to reflect changes in our programs, services, operational practices, or applicable legal requirements.

Updated terms will be published on this page. Where appropriate, material changes may also be communicated through our website, email, or other relevant channels.

Your continued use of our website or participation in a program after updated terms become effective constitutes acceptance of the revised terms, to the extent permitted by applicable law.

Applicable Law

These Terms & Conditions shall be interpreted and applied in accordance with the laws applicable to Diplominds Global and the relevant transaction, program, or event, subject to any mandatory legal rights or protections that apply to you.
